Add a New Employee/Employee Setup ed-10083

Administration Menu  

Click Administration, then Employee, then Employee Setup tab and enter the following information:

Salutation: Select from the pull-down box list.

Last Name: Enter the employee’s last name.

First Name: Enter the employee first name.

Middle Name: Enter the employee middle name.

Employee Type: Select the type of employee from the list.

Status: Select if the employee is active or inactive.

Appointment Schedule: Checking this box allows an appointment schedule calendar to be created for this employee.

Send Orders: Checking this box allows this employee to send or print an order.

Prescribe medication: Checking this box allows this employee to send or print prescriptions.

Decision Support: Selecting this box will allow the program to make suggestions for treatment after a diagnosis has been select. These suggestions will appear in the form of notifications.

Care Notification: Checking this box will cause a notification to appear when certain care is needed for a patient. An example of a care option would be a physical. These notifications can be set to appear when a patient file is opened or can be generated in list form.

Check Dose: Selecting this box will allow the system to check the medication dose entered by the provider against the dose recommended by the program. This will appear in the form of a pop-up notification.

Override the Appointment: Selecting this box will allow the employee to exceed the maximum appointments allowed for a specific time period.

Allow to create Encounter in future: Checking this box allows the employee to create encounters with future dates. 

Multiple Appointments On Single Time Slot: Checking this box allows multiple appointments to be scheduled in the same time slot.

Unsign Note: Checking this box allows the employee to remove the signed status from a clinical note for editing or updates.

Edit Break/Block: Checking this box allows the employee to create, edit, or remove appointment breaks and blocked time slots from the schedule.

Sign Note: Checking this box allows the employee to electronically sign clinical notes and documentation.

Pull Forward Current Medications: Checking this box gives the user permission to carry current medications forward into a new encounter or note.

Show Other Providers Dashboard: Checking this box allows the employee to view dashboards of other providers.

Allow Claim Opening: Checking this box allows the employee to open and manage billing claims.

Set Current Medication Start Date As Encounter Date: Checking this box automatically sets the medication start date to match the encounter date for the user.

Auto Map Diagnosis & Problem: Checking this box automatically maps diagnoses to the patient problem list when applicable for the user.

Enable Speech: Checking this box enables speech recognition and voice dictation features within the system for the user.

Allow Data Delete: Checking this box allows the employee to delete records or data where deletion permissions apply.

Sign Confirmation Needed: Checking this box requires confirmation before electronically signing notes or records for the user.

Enable Text Search: Checking this box enables text-based searching within records and documentation for the user.

Is Provider: Checking this box identifies the employee as a provider within the system.

Use Horizontal Menu: Checking this box displays the main menu in a horizontal layout instead of a vertical layout.

Show Find Patient: Checking this box displays the Find Patient option for quick patient searching for the user.

Patient Alert: Checking this box enables patient alert notifications when opening or accessing patient records.

Allow to pay on Check-In Appointment: Checking this box allows patient payments to be collected during appointment check-in.

Auto Send Fax To Referring Physician: Checking this box automatically sends related documents or reports by fax to the referring physician.

Show Print Preview: Checking this box displays a print preview screen before printing documents or reports.

Expand Print Preview: Checking this box opens the print preview in an expanded or larger view.

Alert For Unsigned Notes: Checking this box displays alerts for notes that have not yet been signed.

Allow Send Prescription: Checking this box allows the employee to send prescriptions electronically or by print.

Show Other User Alert On Word Processor: Checking this box displays alerts or notifications from other users within the word processor screen.

Show Chat-Panel: Checking this box displays the internal chat panel within the application.

Allow access of other's calendar: Checking this box allows the employee to access and view other employees’ appointment calendars.

Time Log Pop Up: Checking this box displays a pop-up window for time logging activities.

Medication Severity: This pull-down option will cause the employee to be notified about the allergy level of a patient when prescribing medications. Choose the minimum level of allergy that will cause a notification to be sent. Select No Alert if the employee does not desire to be notified

Interaction Plausibility: This pull-down option will cause the employee to be notified about a current drug being taken by a patient that may cause problems when prescribing medications. Choose the minimum level of risk in prescribing a new medication that will cause a notification to be sent. Select No Alert if the employee does not desire to be notified.

Upload:  Click the Upload button to select a picture of the employee.

Remove:  Click Remove to delete the employee picture.

Mailing Address:

Address 1: First line of address.

Address 2: Second line of address.

Home #: Home telephone number.

Mobile #: Mobile telephone number.

Email ID:  Email address.

Country: Select the country office is located in, which defaults to the USA.

State: Select the state.

City: Select the city.

Zip:  Enter the zip code if it has not been automatically entered after filling in all other address information. A zip code can also be be used to fill in the State and City boxes. To do this, enter the zip code in the search box after filling in the Address 1 and/or Address 2. As you enter your zip code the city and state is displayed, choose it from the menu.

Is Locked: The user will be prevented from accessing the system if this box is checked.

Login Details:

Update Credentials: This check box appears once a user is added. Check this box to change the password and other user profile settings.

User Name:  Type in an username for the employee.

Password: All passwords must contain at least one upper case letter, one lower case letter, one number, and one special character. Special characters include the following: @ # $ % ^ & = *

Confirm Password:  Please re-enter the password to confirm it.

Hint Question:  The hint question and answer will be used for employees to reset passwords. Select a hint question from the pull-down field or type it in the Or Create Other box. This feature is not currently used but will be used in the future to reset the password.

Or Create Other:  This box is used to create a custom hint question that will be used to reset a password in the future if desired. Type a question in this field to create a custom hint question if the options in the Hint Questions pull-down window are not satisfactory. This feature is not currently used but will be used in the future to reset the password.

Hint Answer:  Type the answer to the selected hint question. This will be used in the future if the user desires to reset the password.

Default Page:  This sets the first page that appears after login.  The options are Allergy List, Appointments, AR Summary, Attachments Inbox, Care Administration, Care Line, Care Management, Care Plans, CareBoard, Claim, Contacts, Employee, Inbox, Management, MUDashboard, New Patient, Note Template Management, Patient Center, Patient Comments, Patient Dashboard, Patient Orders, Patient Portal, Patient Rounds Management, Provider Dashboard, Refill Change Fill Management, Rules Management, Score Settings, Scores, Service Linking and Template.

Password Expiry Period: Select the number of days before the password for this account will expire and must be reset. This is an optional safety feature.

Password Expiry Notification: Select the number of days before password expiration that a notification about the password expiration should be sent. This serves as a reminder to reset the user password.

Never expire password: Checking this box results in the password for this user account never to expire.

Select User Group:   Select the roles to which the employee has access. More than one box can be checked. At login, the user can decide which role to use.

Select Facility: Select the facilities where the user works. More than one box can be checked if desired. At login, the user login at the selected facility.

Save: To save the new employee, click the Save button in the top right hand corner of the screen.
