Patient Payments

Payments can be processed at the time of an appointment from the appointment calendar or any other time from the appointment calendar, Find, AR Summary, or from Superbill.

At the time of patient check in, payment can be taken from the patients by clicking on the appointment and selecting Billing then Payment.  

Credit Card Processing

To process a patient credit card payment, please perform these steps:

  1. Select Payment from the appointment calendar or AR Summary screen.
  2. For a copay payment for today’s encounter, enter the copay amount in the first box at the top of the screen.
  3.  Enter the remaining payment for each claim or as an unposted payment. Auto Apply check box will automatically apply the payment to the oldest claim to the newest claim. Any amount remaining is saved as an unposted payment and available to be applied to future claims in Payment Management under the Billing section. 
  4. Select Credit Card from the Payment Method.
  5. Add the Credit Card Fee%. This will change the total payment amount automatically.
  6. Select a Payment Reason.
  7. Add the Payment and Deposit Date
  8. Another screen with Payment Services title will appear with the total amount payable and fields to enter the details of Card Holder. By default, it uses the patient’s name and address. Edit it if the card holder is not the patient. After entering the details click next.
  9. Swipe the card and click parse or type the card information in. Please make sure the card holders address and zip code are correct. Please enter the CSV code from the back of the card or American Express has the code on the front of the card.
  10. Enter the card details like Card number, Expiration Dare and CVV
  11. Review the card information
  12. Click Process and the transaction is either accepted or rejected in real-time. 
  13. After entering payment, there will be an option to Submit or Submit and New to enter another payment from a different patient. 
  14. Clicking receipt will show the credit card transaction on the receipt.
