Workflow for Processing Claims, Billing Patients, and Taking Payments

  1. Appointment Check-in or Add Charges:

    • Once an appointment is checked in or after saving Add Charges, an encounter is automatically opened.

  2. Accessing the Encounter and Superbills:

    • Click on the appointment to select the superbill from the pop-up menu, or:

      • Navigate to Appointments > Patient Encounters Screen, or

      • Use Search to find and open the encounter, then select the superbill.

 

  1. Adding Diagnosis and Billing Codes:

    • All diagnosis and billing codes are entered on the superbill.

  2. Finalizing Superbills:

    • Once all superbills are finalized, proceed to create claims.

  3. Creating Claims:

    • To create claims:

      • Navigate to Batch Management under Billing and select "Create From Final" or

      • On the superbill, click "Open Claim."

  4. Sending Claims Electronically:

    • In Batch Management, click "Send" to transmit the claims electronically.

  5. Viewing Patient Balances:

    • All self-pay claims or billing codes will display the patient balance on the AR Summary Screen or Accounts Receivable Screen.

  6. Processing Payer Payments:

    • All payer payments are recorded on the New ERA Management Screen.
