To book an appointment go to the date you want to book the appointment on by clicking on the down icon or click the arrows to go the next day or previous day. You can also Click here to filter to show all filter options of what to show on the calendar. The date fields can be used to show appointments on the selected date. Click on the time for the provider or resource. Resource calendars are non-provider calendars and can be configured for rooms or exams.
To find a future appointment use the Find Next Slot feature. To see when providers are working at each location, click the Show Working Hours button on the appointment booking screen.
Add Appointment
To add an appointment, click on the open slot or click on the white area next to an existing appointment to double book, then select Provider Appointment from the drop-down menu. The screen below opens to select an existing patient by typing some or all characters of a patient’s last or first name, account number, phone number or DOB.
New Patient
A quick way to add a new appointment is to check the New Patient box, then add the patient’s first name, last name, gender and DOB.
Prior and Next Appointment: On the top right the patient’s prior and next appointments show as links. Clicking on one of those links changes the screen information to that appointment.
Facility: This is the office where the patient is being seen.
Calendar: A calendar can be a provider or a resource, such as Exam. Show Working Hours displays when the provider or resource can be scheduled.
Billing Provider: This is the provider that is the legal provider for the patient and is assigned as the billing provider on insurance claims. See Billing Setup to switch providers on claims.
Appointment Date: This is the date of the appointment, which can be changed. Find Next will allow an available appointment date and time to be displayed and selected.
Begin Time: This time range is set by the visit type duration, but can be changed on this screen.
Room #: A room number or name can be set to be required or not required. If required, double booking of rooms is not allowed, unless a group appointment is booked.
Reason for visit: This is a textual description of why the patient needs an appointment.
Appointment Status: This shows the status of the appointment whether it’s unconfirmed, confirmed, the patient checked in, the patient checked out or arrived.
Walk-in: If checked, the appointment will automatically be checked in as a walk in patient.
Referring Provider: Select a referring physician from your contacts list. Click the button to add a new contact.
PCP: Select a primary care physician from your contacts list. Click the button to add a new contact.
Last Appt Visit Type: Checking this box will set the visit type to the one set for the last appointment.
Notification Detail: Click this link to set how a patient will be notified for an appointment. The options are voice, text and email.
CareTeam: Add providers to the patient’s CareTeam selecting them from the Contacts.
Televisit: Check the televisit box to generate a link for televisit and set a reminder with a link to the mobile apps and web link to the patient. See Notifications. Providers then click on the appointment on this page or the Provider Dashboard to open the televisit.
Send Invite Checkbox
An invite can be sent to the patient to download the mobile app and complete the check-in forms and sign consents. Please see Notification Settings to configure this.
Recurrence
Recurring appointments can be added by clicking the recurrence check box at the bottom of the add appointment dialog.
Appointments can be made hourly, daily, weekly, monthly, or yearly. These appointments can be set to never end, end after a set number of occurrences, or end by a given date. When an appointment is checked-in that appointment is removed as a recurring appointment and added as a new appointment with an updated status.
